Result To understand the potential of Copilot, DSB designed a test program with 300 internal users who had the opportunity to explore the tool.

DSB's efforts in the sustainability area not only concern the climate. DSB also wants to make a societal difference, which is reflected in their mission "room for everyone on the journey towards sustainability," which involves good corporate governance, social responsibility, and also their own employees. Thus, DSB wants to create the best possible workplace for its employees, which includes offering tools that benefit the employees the most. Therefore, DSB chose to investigate how generative AI could make a difference for them.

As part of their strategic AI initiative, DSB recently tested Copilot for Microsoft 365, a generative AI tool that can assist with various tasks such as writing meeting minutes, summarizing emails, generating presentations, and more in different languages, including Danish.

"We have had a strategic initiative over the past year, where one of our focus areas has been generative AI and how generative tools can benefit our employees. When Copilot was set to be launched, we wanted to explore its possibilities," says Ingrid Hagberg, Senior Project Manager at DSB.

Testing and evaluating Copilot

To understand the potential of Copilot, DSB designed a test program with 300 internal users who had the opportunity to explore what the tool could assist them with and where the maturity was not yet sufficient for their needs. DSB designed the test program to last 8 weeks, which included regular Open Office days and weekly measurements on efficiency and satisfaction.

"Every Thursday, we held Open Office where people could come and ask questions about how they could use Copilot for this and that purpose. Sometimes it worked, other times it didn't. But the meetings also reflected that it is a journey where we explore the tools together," says Ingrid Hagberg, Senior Project Manager at DSB.

All test participants received different levels of onboarding and training, depending on their role.

"From the start, we wanted to test different scenarios and find out how much training and education is actually necessary. Therefore, we had three groups of test participants: superusers, managers, and a third group of curious employees who were allowed to play with the tool without the many guidelines and instructions that the other two groups received," explains Ingrid Hagberg, Senior Project Manager at DSB.

To collect and identify which use cases and results the test program has produced, Fellowmind assisted with an evaluation process, which consisted of collecting quantitative data and conducting qualitative interviews. The evaluation also helped to create a better understanding of what onboarding and training could look like in the future to better guide employees on the right path.

The test results

The test results showed that Copilot has the potential to help DSB employees save time, work in a more modern way, and improve the quality of their work. 79% of users and 84% of superusers believe they can save time by using Copilot for Microsoft 365. 48% experience that Copilot can help improve the quality of their work, and 84% of test participants believe that Copilot supports a modern way of working.

Copilot has the potential to be a valuable tool for employees where the tool's capabilities already match the employee's daily tasks. However, the test and evaluation process also showed that a successful implementation depends on the right training

Shared learning across Denmark

Ingrid has been enthusiastic about the suddenly emerged community that has naturally developed across the country's organizations, solely based on a common interest and curiosity in generative AI.

"The use of generative AI is not unique to DSB. The whole world is going through a learning journey simultaneously. Here, companies and organizations in Denmark that have tested Copilot – including Fellowmind – have been good at sharing knowledge and creating dialogue," says Ingrid Hagberg, Senior Project Manager at DSB.

DSB looks forward to continuing to explore generative AI, including Copilot, on the innovation journey towards creating the best possible workplace for employees.

Our employees have widely different tasks and tools, so what is a good use case for some is not relevant for others. So now the task is to adapt learning programs to the roles we have chosen to focus on initially to ensure good value from Copilot moving forward.
